Production Mail Options Our Bulk Mail Operations was established to provide Rutgers with a low-cost, efficient center to handle your bulk mailings. Our center is ready to help you through the maze of postal regulations and guidelines -- call us EARLY in your project timeline!


Processing Schedules

Bulk mail should be delivered in containers separate from other mail. Processing is completed on a first-come first-serve basis, as well upon the quantity and type of your job. The following processing times are estimates and not a guarantee of actual processing time; contact the Manager of Distribution Operation for a "firm" processing time estimate.

  • Processing Standard (less than 5,000 pieces): If submitted in Zip Code order, processed within 5-working days; if submitted in random order, processed within 10-working days.
     
  • Processing Standard (less than 10,000 pieces): If submitted in Zip Code order, processed within 7-working days; if submitted in random order, processed within 10-working days.
     
  • Processing Standard (more than 10,000 pieces): Please contact the Manager of Distribution Operation to obtain a production schedule
Nonprofit Mail

To save time and labor, please contact the Manager of Distribution Services (Production Mail Operations) for the most current mailing permit specifications prior to contacting your graphic designer and/or printer.

General Info

Any mailing that is not placed in an envelope must contain an appropriate means of affixing postage, either through use of an imprint (indicia), stamp or metering impression on the mail piece. Please contact the Assistant Manager to determine which option is right for your mailing.

Production Mail Operations uses USPS Permit 157 for Nonprofit mailings. Please contact the Manager to obtain a sample of this imprint, as well as approval to use it on your mailing.

USPS Permit 157 is authorized only for Rutgers University mailings. UMS is authorized to mail only RU matter and may not lend and/or delegate the use of this permit to any other person or organization.

Mailing Specifications

A minimum of 200 pieces or 50 pounds total weight is required to qualify for the Nonprofit Bulk mail rate. All pieces must be uniform in size and weigh less than 16 ounces and be at least .007" thick. Mail pieces over 4 1/4" by 6" in size must be at least .009" thick.

Business Reply Mail
  • Mailings may be distributed with a "reply request" envelope. Postage is not prepaid, but is charged to the department when the envelope is returned.
     
  • USPS Permit is authorized only for use by Rutgers University organizations, departments and/or authorized individuals and may not lend and/or delegate the use of this permit to any other person or organization.
     
  • Business reply envelopes, cards and/or labels must be specially designed, pre-approved and printed. Please allow sufficient lead time in your project for this to be accomplished.
